2. Collection and Storage of Personal Data and the Purpose of Processing

a) When visiting the website

When you access our website www.polytec.com, the browser used on your device automatically sends information to our website server. This information is temporarily kept in log files.

The following information is collected without your intervention and kept until automated deletion:

  • IP address of the requesting device
  • Date and time of access
  • Name and URL of the retrieved file
  • Website from which access is made (referrer URL)
  • Browser used, operating system of your device, and the name of your access provider

We process this data for the following purposes:

  • Ensuring a smooth connection to the website
  • Ensuring comfortable use of our website
  • Evaluation of system security and stability
  • Other administrative purposes

The lawfulness of the processing is based on Art. 6(1)(f) GDPR. Our legitimate interest follows from the purposes listed above. In no case do we use the collected data for the purpose of drawing conclusions about your identity.

b) When subscribing to our newsletter

If you have expressly consented in accordance with Art. 6(1)(a) GDPR, we use your email address to send you our newsletter on a regular basis. To receive the newsletter, only an email address is required.

You may unsubscribe at any time, for example via the link at the end of each newsletter. Alternatively, you may submit your unsubscribe request by phone, post, or email to: abmeldung@polytec.de.

 

c) When using our contact form

For inquiries of any kind, we offer a contact form on our website. A valid email address is required so that we can identify the sender and respond to the request. Additional information may be provided voluntarily.

Processing for the purpose of contacting us is based on your voluntarily given consent pursuant to Art. 6(1)(a) GDPR.
Personal data collected for the use of the contact form will be automatically deleted once your request has been completed.

 

d) When registering as a user

When you register as a user, the information you provide is stored in our content management system. A valid email address is required so we can identify the registrant and process the registration. Additional information may be provided voluntarily.

Processing is based on your consent pursuant to Art. 6(1)(a) GDPR, which you may withdraw at any time. After you unsubscribe from our portal, we delete the collected data in accordance with statutory retention requirements.

 

3. Disclosure of Data

We only disclose your personal data to third parties if:

  • you have given your explicit consent pursuant to Art. 6(1)(a) GDPR,
  • disclosure is necessary for the establishment, exercise, or defense of legal claims in accordance with Art. 6(1)(f) GDPR and there is no reason to assume that you have an overriding legitimate interest in the non-disclosure of your data,
  • the disclosure is required to process your personal data to comply with a legal obligation, Art. 6(1)(c) GDPR, or
  • it is legally permissible and necessary for the performance of a contract with you pursuant to Art. 6(1)(b) GDPR.

Based on these legal grounds, we may share personal data with the following categories of recipients:

  • Telecommunications providers
  • Marketing and advertising companies
  • IT and communications service providers

We have concluded data processing agreements (DPAs) pursuant to Art. 28 GDPR with the above mentioned categories of recipients, ensuring that they process personal data only according to our instructions and in compliance with GDPR.

Within Polytec GmbH, only those departments receive your data that require it to fulfil contractual or legal obligations or to pursue legitimate interests (e.g., IT, Sales), following the principle of data minimisation.

Data transfers to third countries

Certain tools may result in the transfer and processing of personal data in countries outside the EU/EEA.
Some U.S. companies are not certified under the EU-US Data Privacy Framework (DPF). In such cases, an adequate level of data protection comparable to EU standards cannot be guaranteed.

Transfers to U.S. recipients are permitted when they are certified under the DPF or when appropriate safeguards are in place.

We run a Facebook fan page. Meta processes personal data such as IP addresses for analytics and advertising.

8. Newsletter via ActiveCampaign

We use ActiveCampaign (ActiveCampaign LLC, USA) for newsletter distribution and marketing automation. Processing is based on your consent in accordance with Art. 6(1)(a) GDPR.

ActiveCampaign allows the organisation and analysis of newsletter campaigns. Opening emails or clicking links might be tracked for statistical analysis.

We use a double opt-in process:
You confirm your subscription by activating a link sent by email. You may unsubscribe at any time by using this link or directly with the provider.

After withdrawal of your consent, your data is deleted unless legal or contractual obligations require retention. Only data strictly necessary for those purposes will be kept.

Data is processed on servers within the EU. ActiveCampaign offers a GDPR-compliant data processing agreement.

10. Data Security

We use SSL/TLS encryption during website visits, generally with 256-bit encryption. If your browser does not support this, 128-bit technology is used.

You can identify encrypted pages by the closed padlock icon in your browser. We take appropriate technical and organisational measures to protect your data against manipulation, loss, destruction, or unauthorised access. Security measures are continuously improved in line with technological developments.
